Summary of features released in the versions 2.5.2, 2.5.3, 2.5.4 and 2.5.5 focused on Volunteer Management

Confirm Volunteer Hours

Admins can now confirm the hours a volunteer completed for an activity schedule slot.

  • From the schedule overview or the activity schedule management page, open the confirmation modal for any sign-up, enter the confirmed hours and any notes, and save.
  • The confirmed hours, confirming admin, and timestamp are all recorded and kept as a permanent audit trail against the sign-up.
  • Confirming hours requires a dedicated permission, so you can control who in your team can sign off on this.

Control Which Volunteer Types Appear on Your Subsite

Each Volunteer Type can now be individually shown or hidden on the public subsite volunteer registration widget.

  • A new Display on website for volunteer signup toggle is available on each Volunteer Type (visible only when your organisation has a subsite configured).
  • Types hidden from the website still exist internally and can be assigned to volunteers by admins — they just don't appear as an option for public applicants.
  • This is enforced server-side, so the restriction cannot be bypassed.

Volunteers Can Now Log In by visiting Manage My Trust

Volunteers no longer need a per-organisation magic link emailed to them to access the portal. They can now sign in from the main login page of Manage My Trust by entering their email address and verifying with a one-time password — the same way org members log in.

  • If a volunteer is associated with more than one organisation, they are shown a selection screen to choose which org's portal to enter.
  • The portal home, tasks, and activities pages all share a consistent header and navigation.

Volunteers Can Browse and Sign Up for Activities

The volunteer portal now includes a dedicated Activities tab where volunteers can manage their own schedule involvement.

  • Available — shows open activity slots a volunteer can sign up for, each displaying the linked event, programme, or project, the activity name, a description, and the location with a map link. Past-dated slots are excluded automatically.
  • My Sign-ups — shows slots the volunteer has already signed up for, with the option to cancel a pending sign-up. Once hours are confirmed by an admin, the confirmed hours badge appears on the relevant slot.
  • Volunteers can sign up and cancel directly from the portal without needing to contact the organisation.

Activity Schedule Entries Now Have a Location

When creating or editing an activity schedule entry, admins can now record where the activity takes place — an address that is stored against the schedule entry and shown to volunteers in the portal with a map link.

Preview a Subsite Page Before Publishing

The subsite page editor toolbar now includes a Preview button. Clicking it saves the page and opens it in a new tab rendered with the real site theme, navigation, and footer — without publishing it. This lets editors review exactly how a page will look before making it live.

Every Event and Program Now Has an Owner

Each Event and Program must now have a designated Owner — an org team member responsible for it.

  • The owner is selected from a dropdown of active org members when creating or editing an event or program.
  • Existing events and programs have been automatically assigned to your organisation's Primary Contact.
  • The owner is visible on the event and program detail pages.

Owners Are Notified When a Volunteer Signs Up

When a volunteer signs up for an activity schedule linked to an event, program, or project, the owner of that record receives an email notification immediately.

  • This applies whether the volunteer signed up themselves through the portal or was signed up by a coordinator.
  • Notifications are sent in the background so the sign-up flow remains fast.

Notify Volunteers of New Activity Schedules by Email

Admins can now send a bulk notification email to volunteers directly from the activity schedule page, letting them know new slots are available to sign up for.

Volunteer Team Tab on Event Pages

Event pages on the organization website now include a Team tab listing the volunteers associated with that event's activities.

  • Volunteers appear on the tab only if they have given consent to be shown on the website via their profile's Show on Website setting.
  • Volunteers can add a short About blurb to their profile, which appears alongside their name and photo on the Team tab.
